How it's counted

Bars show progress toward Toby's quota for the period: 150 dials, 300 texts, 3 hrs talk and 6 booked a workday (a week: 750, 1,500, 15 hrs, 29). The tick on each bar is the quota: a bar that reaches the tick means the quota is hit, and the bar runs on past it up to 125%. Green is at or past the quota, red is below his warning band, grey is in between.

Yesterday is the day before today (Sunday on a Monday). Pick dates: one day or any range since June 1. RingCentral calls start July 13 for Billy and Aug 4 for Andrew and Justin; before that a rep shows bookings, sales and payments only. Days before Aug 24 are on the board only, not in GHL. Ranges are judged on Toby's weekly standard spread over their workdays. This month: the 1st to today, judged like This week against the whole month so far. Last month: the full previous calendar month. Last 60 days and Last 90 days: the 60 or 90 days ending today, today included. Per day: the total ÷ every day picked, weekends and today included. Goals follow Toby's weekday standard: weekend work counts toward them, weekend days add none.

Dials: outbound RingCentral calls.

Texts: delivered from the rep's RingCentral line; failed sends don't count. GHL automations are not counted.

Talk: every connected RingCentral call with a lead, any length, in or out (voicemails left included). Calls with teammates are not counted; Zoom calls are in Zooms.

Booked: created on the rep's calendar by anyone, not cancelled.

Zooms: total minutes of the Zoom calls the rep hosted, as recorded by Fireflies, by the day the call started. Left out: Zooms where Fireflies heard nobody speak (a lead who never joined while the Zoom stayed open), webinars, workshops and staff-only meetings. Updates every 5 minutes once Fireflies finishes the recording. No goal is set yet, so the bar compares reps to the column leader.

Show: showed ÷ (showed + no-show). Close: sales ÷ calls held. A sale is a deal marked Won in the Built to Win or AI RE Webinar pipeline that has received money in GHL, dated by its first payment; a buyer counts twice only when two deals were each paid for (two programs). A Won deal with no payment yet does not count until it is paid. Credit goes to the deal's owner. Revenue: money collected, the same as the commission sheet: every successful GHL payment (refunds taken off) by the day paid, new sales and installments on earlier sales, credited to the owner of the buyer's Won deal (a Fanbasis payment with no deal goes to the rep named on it). The line under the Sales table shows everything collected, including money credited to someone not on the board and money with no rep. Rates get a colour from the first call; the small number in brackets is the count behind it (people who showed for Show, sales for Close) and the "of 3" under it is how many calls it rests on.

Colours: a number is green when it meets its goal, red when it is behind (below Toby's warning band), and white when it is close or when the column has no goal (Zooms, Revenue, Connects, Projected fees). Grey means nothing yet: a zero, or a rate with no calls behind it. A gold underline marks the best number in the column among that section's reps.

Headline tiles: the team total for the reps on that tab, against the sum of each rep's quota for his own days, with the change against a span of the same shape: a workday against the workday before it (Monday against Friday), a weekend day against the same day a week earlier, Today against the last workday up to the same minute, This week and This month against the same days of last week and last month, Last month against the month before, and longer spans against the same weekdays whole weeks earlier. Booked and Revenue have no hourly count, so on Today they show the earlier workday's full total instead of a percent. This week, This month and picked ranges ending today compare finished days only (today is left out of both sides), with Booked and Revenue showing the earlier span's total. Dials, Texts and Talk show no change when the earlier span starts before Aug 4, when RingCentral counting began. Hover the change for the exact dates. Charts: one day shows each hour from 7 AM to 10 PM (wider if anyone worked earlier or later); a range shows each day. Same counting as the board. Talk time lands in the hour the call started.

Wolf Den Wealth: acquisitions reps on the Wolf Den Wealth sub-account, each on his own row: Andrew from Oct 27 (his days before that stay under Sales), Zach from Oct 26 (RingCentral ext 1017), Anas on Oct 29 and 30 only, and Alexander from Nov 3 (RingCentral ext 1012, Anas's old line). Dials, texts and talk use the same RingCentral counting and goals as Sales, per rep. Connects: outbound calls of 78 seconds or more (from Andrew's transcribed Wolf Den calls, every connected call that long was a real conversation; Sales conversations stay at 2 minutes). Connects counts calls, so one seller called twice counts twice and a call to an Unshakable contact counts too. The funnel and pipeline are for the whole team, not split by rep. Projected fees: the Profit Fee Amount (a field on the GHL opportunity) on the rep's Acquisitions deals that are Contracted or Won and still open, as of now, so it is the same on every tab; a deal assigned to someone not in this section counts for Andrew. Hover it for the deals behind it. A name with dates under it was counted only on those days. Funnel counts deals in the Acquisitions pipeline, not calls, each deal once per step. New leads: deals added in the period, by GHL's created date. Worked: deals moved from New Lead or Hot Lead to an outcome stage (hover it for the split into Voicemail, Not Interested and Connected). Connected, Offers, Contracted, Won: deals moved into that stage; each chip is the rate from the step before. Not interested (red, after Won): deals moved to Not Interested as a share of Worked; "talked to first" counts the sellers who had a call of 78 seconds or more before that, since a seller who talks and says no often goes straight to Not Interested without passing Connected. In pipeline now: where every deal sits right now, read from GHL every 2 minutes. Hot not called: open Hot Leads with no RingCentral call or text yet (AI calls and texts are not RingCentral, so they don't count).

Setter: books calls for Billy and Justin. Booked: appointments the Setter created on a closer's calendar inside GHL, plus every appointment on the Setter's own calendar (Built to Win Strategy Call - Marta / - Yasir) whoever booked it, by the day they were made. Set: the Booked appointments the Setter also put in the GHL appointment status Setter Confirmed before the call. It still counts after the closer marks the call Showed or No-show. Goal 5 Set a workday per Setter (Toby: 5 per closer per day). Show: showed ÷ (showed + no-show) for those appointments, by the day they were held; goal 80% (Toby: up from about 60%). Appointments with no outcome marked are listed beside it and left out of the rate. Sales: sales (counted as in Close: money received), by the day of the first payment, where the Setter booked that buyer's appointment before the sale; if both Setters booked the same buyer, the later booking gets it. Billy's and Justin's Booked still counts every appointment on their calendar; "from Setter" shows how many the Setter made. Dials, Texts and Talk have no Setter goal yet.

Speed to lead: how fast a new lead gets its first outbound RingCentral call or text from any rep. On Unshakable there are two clocks: New contacts runs from the moment GHL creates the contact, Applications from the moment an application form is sent (every GHL form named Application; a second send within 24 hours counts once, and an application counts even if a rep had talked to them before); on Wolf Den it is a deal added to Acquisitions, and Hot Lead times the move into Hot Lead. For new contacts and deals, people a rep already called or texted in the 14 days before are already being worked and are left out; staff numbers never count; AI calls are not RingCentral, so they do not stop the clock. Each clock shows the median time to the first touch and a bar of every lead in the period by how fast it was first touched: within 5 minutes, 5 to 60 minutes, 1 to 24 hours, over a day, or not touched yet (red). Under the bar: average calls on the leads nobody has reached yet (a call of 2 minutes, 78 seconds on Wolf Den). By rep: for each clock, the leads assigned to the rep in GHL (the owner of their deal, else the contact's owner), how many the rep has called or texted from their own RingCentral line (Contacted), and the median and average time from the lead's arrival to that first call or text; the bar splits the assigned leads by that speed, with leads not contacted yet hatched red. Calls a lead is calls per different number dialed in the period.
